The AI Employee in Częstochowa: five ways AI already works in companies

Most companies have already tried a chat assistant. Fewer have AI that takes a whole task off someone's desk, from start to finish. That gap was the subject of our talk at the business breakfast of the Regional Development Agency in Częstochowa on 1 October, held at the Częstochowa Industrial and Technology Park. The room was fully booked, with people from manufacturing, construction, finance, trade, services and IT.

Three levels of automation

We started with a simple map. First, simple automations that move data between systems. Second, AI that supports decisions by preparing a short list for a person to check. Third, agents that run a whole process and hand people only the exceptions. Getting there always takes the same path: understand the process, connect AI to the systems the company already uses, then keep it running day to day.

Five examples from our projects

  • Answering every enquiry right away. A voicebot calls back new enquiries immediately, also in the evening and at weekends, and books a conversation with the team.
  • Checking documents against records. AI compares invoices with the books and gives a person a short list of what needs a closer look.
  • Preparing offers faster. An agent picks matching products from a large catalogue and explains its choices; the salesperson reviews and sends the offer.
  • Planning stock. AI uses sales and stock data to suggest what to order and what to clear.
  • Quality checks with a camera. A camera flags possible defects and shows them to a worker, who makes the call.

Where AI pays back fastest

In processes that are frequent, repetitive, built on data the company already collects, and easy to measure. Our advice was to start small and grow after the first results.

People stay in charge

In every example AI supports people rather than replacing them, and decisions stay with a person. GDPR and the EU AI Act are part of the design from day one, not something added at the end.

What the room asked about

In the workshop part, questions quickly moved to the participants' own companies: customer service, sales support, lead generation, quality assurance, and digitising paper records and data. The response was very positive, and it confirmed what we see in our projects: the best place to start with AI is a concrete process that takes too much of someone's time today.

We would like to bring this format to other cities. If you run a business support organisation, a chamber or a local development agency and would like an "AI Employee" morning for your members, get in touch.
